For colleges
College event registration with payment: workshops, hackathons, competitions and seminars
A college club runs something almost every month: a workshop, a hackathon, a quiz, a guest lecture, a competition, an industrial visit. And each time, someone makes a new Google Form, shares a UPI ID, and spends the night before matching screenshots to roll numbers.
This guide shows a simpler way to take registrations — free or paid — so the club spends its time on the event, not the spreadsheet.
What a good registration link does
- Collects exactly the details you need: name, phone, college, course, year, student ID.
- Takes the fee straight into the club’s or college’s account, or costs nothing for free events.
- Stops at the number of seats you have.
- Gives every participant a pass, so attendance on the day is a scan, not a signature sheet.
Set it up once
- Sign up with the club’s email, not a member’s personal one, so the next team inherits it.
- Create the event: title, date, venue or room, seats and the fee (or free).
- Add questions and make them required: college, course and year, student ID or roll number. For a competition, ask for the team name and members.
- Choose how you get paid: the club’s or college’s UPI ID, where you approve each payment after checking the account, or its own Razorpay or Cashfree account, where passes go out by themselves.
- Book it yourself with “Try booking” — nothing is charged or saved — and share the link in class groups and on the club’s Instagram.
Different prices for different students
- Members and non-members, or our college and other colleges: separate pass types with their own price and seats.
- Early-bird passes, limited by number rather than a made-up deadline.
- A discount code for a partner club or a department, so you can see how many came through them.
- Free entry for volunteers or judges: add them by hand with “Add a guest”; they get a real pass.
Hackathons and competitions
One person registers for the team and answers your questions — team name, members, the track they’re entering. If you want to choose who takes part, turn on approval: teams send a request with their answers, you approve the ones you pick, and only they pay. Teams you don’t pick never pay, so there’s nothing to refund. Each pass the team leader books can be sent to a teammate on WhatsApp.
Seminars and guest lectures that are free
Free events cost nothing on Yano. Students still get a pass, so you know the real headcount before you book the hall, and the scanner gives you an attendance list at the door — useful when certificates depend on attendance.
On the day
- Send the scanner link to two volunteers at the door. No app or login, any phone.
- Each pass works once; a forwarded screenshot shows as already used.
- Someone turns up without registering and there are seats? Sell a walk-in pass for cash or UPI right from the scanner.
- Afterwards, download the list with who actually came — for certificates, the club’s report or the department.
The next event takes two minutes
Open the last workshop and tap “Repeat this event”: the passes, questions and payment settings are copied and you change the date. The club’s organiser page lists every upcoming event, so one link in the club’s Instagram bio is always up to date.
Try it for your next gathering
Free to start. Guests pay you directly; Yano never holds your ticket money. Free events cost nothing.
Questions people ask
Can students pay the registration fee by UPI?
Yes. They pay the club’s or college’s UPI ID directly, or through your own Razorpay or Cashfree account. Yano never holds the money.
Can we collect college, year and student ID?
Yes. Add them as required questions. Every answer appears on your list and in the spreadsheet download.
Can we choose which teams take part?
Yes. Turn on approval: teams apply with their answers, you approve the ones you pick, and only approved teams pay.
Is it free for free events?
Yes. Free events and free passes cost nothing on Yano.
What does it cost for paid events?
Each paid pass uses one credit (₹6–₹10), with no percentage of the fee taken. New organisers start with 50 free credits.
