A fair refund and cancellation policy for small events (with a template)

Refunds cause more bad reviews than bad events. Almost always, the problem is that nobody said the rule before people paid.

Say it before they pay

Put your refund rule in the event description in plain words. Two sentences are enough. People accept almost any fair rule they were told about in advance.

A short template you can adapt

Adjust the hours and percentages to your costs. Keep the promise you make.

  • Can’t make it? Transfer your pass to a friend any time — just tell us their name.
  • Refunds: full refund up to 72 hours before the start, 50% up to 24 hours before, none after that.
  • If we cancel, you get a full refund within 7 days, to the account you paid from.
  • If we change the date, your pass stays valid; if the new date doesn’t work for you, ask for a full refund.

If you must cancel or postpone

  1. Decide the refund or new date first, so your message is complete.
  2. Tell everyone who booked at once — not one by one in DMs.
  3. Refund promptly to the same UPI or card they paid from.

Who is responsible for refunds?

Whoever received the money. On Yano guests pay the organiser directly, so refunds come from the organiser. Yano never holds ticket money.

Questions people ask

Do I have to give refunds?

Your rules decide, as long as you said them clearly before people paid. For legal questions, ask a lawyer or CA.

Can guests transfer a pass instead?

You can allow it. Many hosts prefer transfers to refunds — the seat stays filled.
