How to check in guests at the door — and stop screenshot passes
The door is where a good night is won or lost. A queue that moves, nobody sneaking in on a forwarded screenshot, and no shouting over a printed list.
Why screenshots get through
A screenshot of a QR code looks exactly like the real thing. If your door only checks that the QR “looks valid”, the same pass can be used by five people.
The fix: passes that work once
Each pass should be checked against a live list and marked as used the first time it’s scanned. The second scan then shows a warning: already used, at what time, by whom.
On Yano, the scanner shows green to let someone in, amber for a pass already checked in (with the time, the name and the last 4 digits of the booking phone), and red for a pass that isn’t valid here or today.
Give your team a scanner without sharing your account
- Send the scanner link to your volunteers on WhatsApp.
- They open it on their own phone — no app, no login — and enter the gate code if asked.
- They can scan and look people up by phone number, but never see your money or settings.
Multi-day events
For a 3-night garba or a weekend festival, an all-days pass should work once per day, and a Day 2 pass should be refused on Day 1. Yano handles both automatically.
Have a backup
Print the guest list or save it as a PDF before the night. If the network drops, you can still tick names by hand and check them in later.

Questions people ask
Do guests need to download anything?
No. Their pass opens from the email link. They can also save it as an image.
Can someone use a screenshot of a pass?
Only once. The first scan checks the pass in; any later scan of the same pass shows it as already used.
What if a guest lost their pass?
Find them by name or phone number in the scanner or your guest list and check them in from there. Guests can also find their passes at yano.club/my-tickets.
