Taking an advance for trips and treks — and collecting the rest at boarding

Trips with strangers, weekend treks and bus yatras usually work on an advance: people pay a part to hold their seat and the rest at boarding. The money side is simple. The record-keeping is where it goes wrong — who paid the advance, who paid in full, who still owes ₹2,500 at 5 am at the pickup point.

Set the advance and the balance up front

Make both numbers visible before anyone books: “₹1,000 now, ₹2,500 at boarding”. Surprises at the bus door cause arguments; clear numbers don’t.

Let people choose where they board

If you pick up from several places (say Dadar, Thane and Vashi), let each guest choose their stop when they book. Your volunteers at each stop then know exactly who to expect.

Collect the balance and mark it — every time

The most common gap: the balance is collected in cash, but nobody records it. After the trip, nobody can say what came in.

Make marking the balance part of check-in. On Yano, when a pass with a balance is scanned, the scanner shows the amount to collect and a button to mark it received.

After the trip: one honest summary

For accounts, you want three numbers: what was paid at booking, how much balance was received, and what is still pending. Yano shows this as a Money card on events with advance tickets, and you can mark balances received afterwards for anyone the door team missed.

The guest-list export includes the balance, when it was received and the total received for each guest — ready for Excel.

Guests you add yourself

Sold a seat on WhatsApp and took cash? Add the guest yourself and say whether they paid the advance only or the full amount — so your totals stay right.

Questions people ask

Can different tickets have different advances?

Yes. Each ticket type can have its own advance and balance — for example a seat with ₹1,000 advance and a “full payment” option.

What if the trip is cancelled?

Cancel it from your event’s Manage tab. Yano shows exactly how many people will be emailed before anything is sent. Refunds come from you, because guests paid you directly.

Does the door team need an app?

No. They open the scanner link on any phone. Hosts can also use the Yano app on Android.
