For party organisers
Party organisers on Instagram: a curated guest list, a balanced crowd and a door nobody can cheat
House parties, rooftop nights, themed parties, techno in a warehouse, a Bollywood night at a café — if you sell them from Instagram, you know the pattern: the reel goes out, the DMs explode, and the real work begins. Who gets in? Is the crowd balanced? Who has paid? Is that pass a screenshot?
This is how party organisers run that part on Yano, so the night feels curated from the first DM to the last song.
The party organiser’s real problems
- A good party is a good crowd — and a form or a payment link can’t tell you who’s coming.
- Stag entries pile up while women hesitate.
- Promoters say they sold 40; you can’t check.
- Screenshots of passes get forwarded. The door becomes an argument.
- People want the address before they pay; you don’t want it on Instagram.
Curate the guest list — by profile, not by luck
Turn on “Approve each guest yourself” and ask for an Instagram handle (and anything else you need — age bracket, who they’re coming with). Every request shows the handle as a tappable link. Approve the people you want; they get an email with a link to pay, and WhatsApp opens so you can send it personally. Declined people never pay, so there are no refunds to chase.
Selling to everyone instead? Leave approval off and passes go out the moment people pay.
Couple, women and stag entry — with a balance that holds
Make ticket types the way your door works: “Couple”, “Women”, “Men (stag)”. Turn on “Keep a 50:50 crowd” with a gap (say 4): when men’s passes get that far ahead of women’s, they pause on their own until it evens out. Couple passes don’t change the balance — only women’s and men’s passes are compared.
Early birds that are real
Create an “Early bird” ticket type limited by quantity — say the first 30. When they’re gone, they’re gone. That’s real urgency, and your followers learn that early really is cheaper.
A link for every promoter
Give each promoter or collab page a promo code with its own booking link (the discount is already applied). Your dashboard shows how many times each code was used — so payouts and future collabs are based on numbers, not claims.
Keep the address private
Turn on “Keep the address private until someone books”. The public page shows only the area; the exact address and map pin appear only on confirmed guests’ passes. Private-address parties are never listed on Yano’s Find page.
Money: straight to you
- Small parties: guests pay your UPI ID and you confirm — no gateway fee.
- Big drops: connect your own Razorpay or Cashfree and passes go out automatically the moment someone pays.
- Either way the money goes to you, never through Yano.
The door: fast, honest, no arguments
- Send the scanner link to your door team. They scan from their own phones — no app, no login, no access to your money.
- Every pass works once. A forwarded screenshot shows “already checked in” with the time and the name, so the door doesn’t have to argue.
- Guest lost their email? Find them by phone number.
- Walk-ins: sell a pass at the door for cash or spot UPI. They’re checked in and counted, so your numbers stay right.
- Several people can scan at once at different entrances — a pass still works only once.
What guests hear, step by step
- Request sent → an email with a personal link showing where their request stands.
- Approved → “You’re in — pay ₹…” with their payment page.
- Paid → their QR pass by email with your WhatsApp and Call buttons (or your on-ground host’s).
- Lost it? yano.club/my-tickets with their mobile number and email.
- Date moved or party cancelled → every booked guest is emailed; you see how many before anything is sent.
No marketing emails, ever. Guests who want to hear about your next party can follow you in the Yano Android app and get a quiet notification when you announce it.
A sample setup (example)
- Ticket types: “Early bird” (30), “Couple”, “Women”, “Men (stag)”. 50:50 on, gap 4.
- Approve each guest yourself: on. Question: Instagram handle (required).
- Private address: on. Promo codes for two collab pages.
- Try booking it yourself first — nothing is charged, saved or emailed — then put your organiser page in your bio.
Try it for your next gathering
Free to start. Guests pay you directly; Yano never holds your ticket money. Free events cost nothing.
Questions people ask
Can I approve guests and still let them pay online?
Yes. Approved guests pay on their payment page — by UPI, or online if you’ve connected your own Razorpay or Cashfree account.
Does a couple pass count in the 50:50 balance?
No. The balance compares women’s and men’s passes only; couple and other passes don’t change it.
Can I see which promoter brought which booking?
Each promo code shows how many times it was used, and each booking shows the code it used.
What does it cost?
Each paid pass uses one credit (₹6–₹10). Free passes, requests and declined guests cost nothing. New organisers start with 50 free credits.
Do guests need an app?
No. Everything works in any phone browser, including inside Instagram. The Yano Android app is optional.
