For teachers, coordinators and school offices collecting money from parents for trips, events and workshops

Collect trip and event money from parents without cash envelopes or a spreadsheet

Share one link in the class WhatsApp group. Parents fill in the student’s details and pay the school directly by UPI, every payment lands on one class-wise list, and each student gets a pass you scan on the day. Parents who pay cash at the office can still be added.

Free to start. Free events cost ₹0.

“Forty envelopes of cash, a register with crossings-out, and three parents who say they paid on UPI but I can’t find it.”
— A typical class-trip week

How Yano handles it

Student details on every booking

Ask for the class and section, allergies or medical needs, an emergency number and the parent’s permission. Make them required, and download everything as one list.

The money goes to the school

Parents pay the school’s UPI ID, or the school’s own Razorpay or Cashfree account. Yano never holds it, and every parent can download a statement of what they paid and to whom.

Cash payers on the same list

A parent paid at the office? Add the student by hand. They get the same QR pass and count in your totals.

Seats, deadline and the bus

Cap the seats, pause booking when the last date passes, add pickup points, and send the scanner to every teacher on duty. Each pass works once.

On the day: At the bus, the scanner shows which students are still to board, with their parent’s number.

What your guests get

  • A pass with the student’s name, the date, the place and the reporting time
  • A statement of what they paid, straight to the school
  • The teacher’s number for questions

Set it up

  1. Create the trip or event. Add the amount, the seats and the questions you need answered.
  2. Share in the class groups. One link in the parents’ WhatsApp group. Pause booking on the last date.
  3. Check students in. Teachers scan passes at the gate or the bus from their own phones.

Questions organisers ask

Does the money go to Yano?

No. Parents pay the school’s own UPI ID or the school’s own Razorpay or Cashfree account. Yano is software only and never holds it.

A parent has two children going. What do they do?

Book once for each child, with that child’s name, so every student has their own answers and their own pass.

Some parents will pay cash. Can they be included?

Yes. Use “Add a guest” in your event for each cash payment; the student gets a real QR pass and counts in your totals.

Will our school event show up publicly?

New events are not put forward on Yano’s Find page or to search engines unless you switch that on. Anyone with the link can open it, so share it only in your school groups.

What does it cost the school?

Free events cost nothing. For paid ones, one credit per paid pass — new organisers get free credits to start. Yano never takes a share of the amount.
